New procedure for reserving meeting rooms at HMW
HISD employees located in the Hattie Mae White Educational Support Center can now make a room reservation straight from their Microsoft Outlook calendar.
SAP room reservations have now been moved to the Outlook Conference Room calendars. This list is sorted by the author of the reservation as entered into SAP.

- Select the ‘Calendar’ tab located at the bottom of Microsoft Outlook. At the top left, select the “New Meeting” tab and click on it.
- In the new box, click the “To…” tab. In the search box, type in “HMW.” A list of room locations in the Hattie Mae White Educational Support Center will appear.
- Select room location, click on “Required” tab, then select the “OK” tab. Your room selection should also appear in the “Location” tab.
- To add attendees, simply type in their name or email address in the “To…” tab next to the room selection, similar to sending an email with multiple recipients.
- If the room is booked, you will receive an email with the subject line “Declined.” The reason will be listed in the body of the email. For example, “Your request was declined because there are conflicts” will be the response if the room is booked.
- Some rooms require approval by certain departments. If the room you requested requires approval, you will be notified that your request is being reviewed.
