OneSource employee leave correction process modified

Requests by employees can now be submitted, modified or deleted up to 30 calendar days in OneSource 

Effective immediately, leave requests submitted by HISD employees can now be modified or deleted in OneSource up to 30 calendar days from the date the employee requested the modification or deletion. This is a change to the two-day limit previously in place.

This is how the 30-day correction period works. As long as the leave date is not more than 30 calendar days prior to the day of the week an employee initiates the request, the employee can: 

  • Create a new leave request for time taken and not previously requested
  • Edit or delete an approved AND posted leave request
  • Delete an unposted approved leave request
  • Modify or delete an unapproved leave request

Managers will need to approve all requests that have been posted to an employee’s quota bank. See below for a list of frequently asked questions. Q:  How do I calculate the maximum number of days I can delete an approved leave request? 
A:  From the actual date you are taking action, count backwards 30 calendar days.

A:  From the actual date you are taking action, count backwards 30 calendar days.

Q:  Why can an employee delete an approved leave request?
A:  The deletion request occurred before the nightly job ran and the leave was never posted to the employee’s record, so it can be deleted by the employee without approval by the manager.

Q:  Why is an employee able to modify or delete a leave request for a past date his/her manager did not approve?
A:  The leave was never approved by the manager, and has not caused any change to the employee’s record, so it can be deleted by the employee without approval by the manager.

Q:  Will I see the time for a deleted leave request that requires manager approval returned to my quota bank immediately?
A:  No, not immediately. Your manager will not receive a notification of your request until after the nightly batch job is run. You will receive the time back in your bank after your manager has approved and the next scheduled nightly job is run. Plan for a minimum of 48-72 hours for all of this to occur.

Q:  What is the importance of the status of “posted” versus “not posted” with respect to Leave Requests?
A:  Posted means the employee’s quota bank has been affected, positively or negatively, while not posted means the employee’s quota bank has not been modified.

Q:  Should I click on the “check” (next to leave details) when I am attempting to change or enter a leave request?
A:  Yes, as you get important messages at the top of the screen. The red stop sign means you cannot proceed, the yellow triangles are warning messages, and the green check boxes mean all is well.

Q:  What if I try to delete an approved request more than 30 days in the past?
A:  You will not be able to do this, the system will prevent it. Click here to access the paper form needed for corrections/deletions greater than 30 days.
